The Services Assistant (Customer Service Coordinator) can be described as a key role within the Operations team that assists with the
planning and executing of production projects within the manufacturing plant. This person should have a general
understanding of accounting principles, invoicing procedures, and collection of receivables. They should also
possess good organizational, analytical, and problem resolution skills.
Responsibilities include the following:
-Run Job Cost Inquiry reports to review labor and material applied to projects and ensure that all activity and pricing is correct; remove any discrepancies.
-Set up projects in order management system (Q2C) after receiving turnover package from Order Entry Team.
-Coordinate production dates with the plant teams and management.
-Review projects weekly with production team to confirm whether or not they were
completed as scheduled or have incurred delays.
-Provide project status updates to internal and external customers with regular communication.
-Process projects for timely invoicing using the order management tool.
-Analyze profit margin for projects and provide explanation to management for those that do not fall within guidelines.
· Bachelors degree in a related field or Applicable Experience
· Experience with Microsoft Office tools (Word, Excel, etc.)
· Professional experience in customer service
· Excellent interpersonal skills
· Proven conflict management skills
· Ability to establish and maintain strong relationships with internal/external resources
· Experience in customer interaction and understanding of customer satisfaction
· Ability to organize and prioritize a variety of short and long term action items
· Strong written and oral presentation skills
· Ability to drive results through cross-functional teams
· Excellent analytical skills
